How to Send an email to the Ivanhoe Community

Thank you for being part of the Ivanhoe Family and providing a service/ donation to our school.   We are using Constant Contact to communicate via email to our parents.  In order to send the proper email out, here are a few guidelines:

 

Artwork

Images must be in jpeg RGB (no CMYK) medium resolution, 600 pixels wide by any  height.

 

If you have links embedded in your jpeg such as your website, email or phone number,  parents will not be able to click  on the link to go to the site or dial your number.  We suggest you pull it out of the artwork and email us the text directly.  The text you send us does not have to be formatted as we will do this directly in Constant Contact. 

 

Text of Email

When you send your text, brevity is everything.  We cannot take a word document and pare it down.  The volunteer parents who handle email communication are not copywriters, so it's up to everyone to make their own edits.  It should be under 5 sentences.  Many parents will delete the email if there is too much information.  Short and sweet and to the point. 


Here is a list of text we need to receive at info@friendsofivanhoe.org along with your jpeg.

  • your website

  • phone number

  • event day of the week

  • event full date

  • event time

  • event location (if applicable)

  • contact information

  • payment - how

  • % of profit for Friends of Ivanhoe

Approvals of Email

Emails must be first approved by our FOI board.   

 

Please note that all promotional emails must be approved by the Principal and that approval is not guaranteed.

 

Lastly, the volunteer parents, need time to layout the email so the overall process might be a month before the event happens.   We will also send you a test email to see the layout.
